Fence Pilot, Inc. ("Fence Pilot," "we," "us," or "our") values your privacy and is committed to transparency regarding how we handle information. This Privacy Policy explains how we collect, use, and protect information in connection with our software, websites, and mobile applications (collectively, the "Services").

By accessing or using the Services, you acknowledge and agree to this Privacy Policy and the Fence Pilot Terms of Service. If you do not agree, you must not use the Services.

1. Information We Collect

1.1 Information You Provide

We collect information you submit directly to us, including:

  • Account registration details (name, email, password, company name)
  • Business or customer contact data entered into CRM modules
  • Uploaded files, images, measurements, and project details
  • Payment information when you subscribe to paid Services (handled securely by third-party processors such as Stripe)

1.2 Automatically Collected Data

We may automatically collect:

  • Device and browser information
  • IP address and general location
  • App and usage analytics (time on page, clicks, errors)
  • Log data for performance and security monitoring

1.3 Third-Party Integrations

If you connect to or import data from third-party platforms (e.g., QuickBooks, Stripe, Google, or vendor catalogs), you authorize Fence Pilot to retrieve and process such data solely to enable the integration. Fence Pilot is not responsible for the security, accuracy, or handling of data by third parties.

1.4 Google Calendar Data

Connecting Google Calendar to FencePilot is optional and user-initiated. If you choose to connect your Google Calendar account, FencePilot accesses your connected Google account name and email address. FencePilot reads and updates only FencePilot-managed events on the destination calendar you select, and reads those managed events back so that authorized scheduling changes stay synchronized.

FencePilot does not import unrelated personal calendar events.

FencePilot stores the connected account name and email address, encrypted OAuth access and refresh tokens, identifiers for FencePilot-managed events, and synchronization metadata. This information is used only to publish and synchronize assigned visits and to apply authorized Google Calendar changes.

FencePilot does not sell Google user data, use it for advertising, or permit human access except for security, legal compliance, or support specifically requested by you.

You can disconnect Google Calendar from FencePilot at any time in FencePilot Calendar Settings. Disconnecting revokes Google authorization when available and deletes stored OAuth tokens, event-link identifiers, and watch channels. Events already created in Google Calendar remain until you delete them. You may also revoke access from your Google Account third-party connections page.

FencePilot does not use raw or derived user data received from Google Workspace APIs, including Google Calendar data, to develop, improve, or train generalized or personalized artificial intelligence or machine learning models.

FencePilot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

2. How We Use Information

We use collected data to:

  • Operate, maintain, and improve the Services
  • Authenticate users and manage accounts
  • Generate automated estimates, reports, and materials lists
  • Communicate updates, alerts, or promotional content (opt-out available)
  • Comply with applicable laws or enforce legal agreements

We may anonymize and aggregate data for internal analytics, product development, and benchmarking. Such aggregated data does not identify individual users.

3. AI and Automation Features

Fence Pilot includes optional AI-driven tools that assist with calculations, recommendations, and project insights. All AI outputs are automated predictions or approximations only and should not be treated as verified or authoritative. By using these features, you acknowledge that:

  • AI results may contain inaccuracies or omissions;
  • You are solely responsible for verifying all data before using it in real-world projects; and
  • Fence Pilot is not liable for any reliance on AI-generated outputs.

4. Data Sharing and Disclosure

Fence Pilot does not sell or rent your personal data. We may share data only as follows:

  • With service providers who perform functions on our behalf (e.g., hosting, analytics, payment processing);
  • With third-party integrations explicitly authorized by you;
  • For legal reasons, if required by law, subpoena, or to protect our rights and property;
  • In business transfers, such as mergers, acquisitions, or sale of company assets (data may be transferred as part of the transaction).

All partners and vendors are contractually required to handle information in a manner consistent with this Privacy Policy.

5. Data Retention

We retain information only as long as necessary for business purposes or as required by law. Upon account closure or request, we may delete or anonymize your information, subject to any legal or accounting obligations.

Fence Pilot does not guarantee data recovery once deleted or lost, and users are responsible for maintaining independent backups of their records.

6. Security

We employ reasonable administrative, technical, and physical safeguards designed to protect data against unauthorized access or disclosure. However, no system is completely secure, and Fence Pilot disclaims all liability for breaches, hacks, or unauthorized access beyond its reasonable control.

7. User Responsibilities

You are solely responsible for:

  • Protecting your login credentials;
  • Maintaining backup copies of all project and customer data;
  • Ensuring compliance with any local, state, or federal regulations governing your business data.

Fence Pilot is not responsible for user errors, misconfigured settings, or data entered inaccurately.

8. Children's Privacy

The Services are intended for use by adults (18+) for business purposes. Fence Pilot does not knowingly collect personal information from minors. If you believe a child has provided information to us, please contact legal@fencepilot.com for prompt removal.

9. Your Rights

Depending on your jurisdiction, you may have certain rights regarding your personal information, such as:

  • The right to access or request deletion of your data;
  • The right to correct inaccurate information;
  • The right to opt out of promotional communications.

10. International Use

If you access the Services from outside the United States, you consent to having your data transferred to and processed in the United States, where data protection laws may differ from those in your country.

11. Sales and Onboarding Text Messages

If you separately opt in, Fence Pilot may send recurring automated sales and onboarding text messages to the mobile number you provide. Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to cancel. Consent is not a condition of purchase.

Fence Pilot does not sell or share mobile phone numbers or SMS consent information with third parties or affiliates for their own marketing or promotional purposes. We may share this information only with service providers that help us deliver messages, and when required by law.

12. Changes to This Policy

Fence Pilot may revise this Privacy Policy at any time. Updates will be posted on our website or within the app, with the "Effective Date" updated accordingly. Continued use of the Services after updates constitutes acceptance of the revised Policy.

13. No Liability for Third-Party Links

Our Services may contain links to external websites or services not operated by Fence Pilot. We are not responsible for the content, privacy practices, or policies of those third parties.
